Payment vouchers

Create authorised payment requests that go through a formal approval before funds are released.

A payment voucher is a formal document requesting payment — for expenses, advances, or any outgoing payment that needs manager sign-off. Once approved, the voucher posts to the general ledger and can be printed with the approver's name and timestamp.

  1. 1Go to Accounts → Payment Vouchers and click New.
  2. 2Select the payment method (cash, bank transfer, cheque) and the paying account.
  3. 3Enter the payee, amount, and narration.
  4. 4Add GL coding lines — which expense or liability account to debit.
  5. 5Submit to the approval workflow. The voucher is locked until approved.
  6. 6After approval, print the voucher — it shows the officer name, date, and approval comment.

Payment vouchers can also be linked to outstanding supplier bills to settle A/P balances at the same time as the payment is authorised.
